1. Self-Hosted Data Sovereignty
WHBOS is a commercial web hosting business operating system designed for on-premises and self-hosted deployment. When you install WHBOS on your servers, your customer databases, hosting packages, server credentials, customer personal details, and transactional history reside exclusively on your infrastructure.
WHBOS does not operate a centralized cloud database of your clients. You retain 100% legal and operational custody of all data generated through your WHBOS installation.
2. Information We Collect
When you purchase a WHBOS license, create an account on whbos.com, or use our client portal, we collect only the minimum necessary information to fulfill your service:
- Account Information: Name, business email address, company name, and country of residence.
- Billing Information: Billing address, VAT number (where applicable), and payment tokens processed directly by PCI-DSS compliant providers (Stripe, PayPal, Mollie). We never store raw credit card numbers.
- Communication Records: Support tickets, feature feedback, and direct email inquiries submitted to our engineering desk.
3. License Telemetry Standards
To validate active software licenses and deliver security updates, self-hosted WHBOS installations transmit periodic cryptographic heartbeat requests to license.whbos.com.
Telemetry data transmitted is strictly limited to:
- License Key identifier string (e.g.,
WHBOS-PRO-XXXX-XXXX). - Primary server IP address and installation domain name.
- WHBOS system release version and PHP environment runtime (e.g., PHP 8.3).
4. Zero End-User Data Harvesting
We explicitly declare that WHBOS telemetry never transmits, collects, analyzes, or stores personal identifiable information (PII) belonging to your end-user hosting customers.
Your customer names, email addresses, server passwords, support ticket conversations, file uploads, and billing totals remain strictly on your server and are never accessible to WHBOS staff.
5. Third-Party Processors & Gateways
We work with trusted third-party providers for billing and infrastructure operations:
- Stripe Inc.: Payment processing, fraud prevention, and subscription billing.
- PayPal Holdings Inc.: Express checkout and recurring wallet payments.
- Cloudflare Inc.: Global DDoS mitigation, edge CDN, and SSL certificate termination.
6. GDPR & Privacy Rights
Under the General Data Protection Regulation (GDPR) and California Consumer Privacy Act (CCPA), you are entitled to:
- Right of Access & Portability: Request an export of your account and billing history at any time.
- Right to Rectification: Update your personal details and billing company info directly in the client portal.
- Right to Erasure (To Be Forgotten): Request the permanent deletion of your account upon license termination.
7. Data Security & Encryption
All communications between your browser, your WHBOS instances, and our licensing APIs are strictly encrypted using TLS 1.3 with AES-256 cipher suites. We enforce two-factor authentication (2FA) and WebAuthn security keys for all internal staff access.
